This customer came to Payroll Data from an in-house payroll processing environment. Initially the customer was looking to improve overall processing efficiency. The move to an outside provider was not one taken lightly. But after learning about all the improvements Payroll Data provides while also being reassured they would maintain internal control of processing, the decision to move to Payroll Data was simple. Tax Processing

Because the account was using an in-house process, they had to manage all aspects of tax processing on their own. With locations and employees spread out over multiple tax jurisdictions, the payroll team had a full workload just keeping up to date with local changes.

Payroll Data provides a full tax processing service to manage every aspect of processing payroll taxes. This service allows the client to no longer worry about the responsibility for the day-to-day management and tracking of local tax obligations. Today Payroll Data processes all the payroll tax for Local, State and Federal payroll tax obligations, saving the customer a tremendous amount of time and money. 

Manual Time Management

Prior to working with Payroll Data, this customer was using a time management process in which employees turned in hand written timesheets. To properly handle this information, the internal payroll team had to manually key each employee’s time sheet into an Excel worksheet. Once all the information was keyed into Excel, the processing group would then review it for any keying errors.

Payroll Data recommended and the customer agreed an automated Time and Labor Management solution using a combination of Biometric and Badge Terminals to capture employee information was ideal.

The use of Biometric terminals reduces the chance for employees to engage in “Buddy Punching”. Buddy Punching is the practice of hourly workers punching the time clock for friends. If allowed, Buddy Punching results in employees being paid for time they did not earn.

While this may appear to be more of a nuisance than anything else, there is a staggering reality associated with Buddy Punching: recent reports have estimated that such acts can cost companies upwards of 5% of their entire payroll budget –- a huge loss to any company, regardless of their size.

Today, the entire process of gathering and processing employee time is completed in just a few clicks by importing employee hours directly into Payroll Data payroll application.

401K Export File

The customer was also looking for a means to improve processing 401K payments. Prior to working with Payroll Data, the client took complete responsibility for calculating, reporting, and submitting payment and employee information.

Payroll Data worked with the customer to develop a simple to follow procedure in which all employee information is properly processed within payroll. After each payroll, Payroll Data creates a custom report incorporating the unique specifications of the customer’s 401K administrator that is seamlessly transmitted to complete the entire 401K process.

The Payroll Data method of working directly with the customer and the customer’s 401k vendor creates an environment in which everyone works together to achieve the common goal of an accurate and efficient 401K transmittal.

Time Off Requests

Paper based time off requests is the norm for most businesses. During the evaluation process, Payroll Data demonstrated its online time off request process to this customer. In deploying the Payroll Data solution, employees, managers and payroll administrators communicate each step from employee request, review, and approval within one online business application.

Today employees and managers work electronically to manage the entire processes. Managers view a calendar which displays all direct reports requested and approved vacation, allowing a simple visual interpretation of team size so that managers can easily approve requests in a click of a button.

General Ledger Export

Like many businesses, this customer has more than one Employer Identification Number (EIN). This may seem like a simple thing to manage from the outside, but running an operation with multiple EIN’s can be a very daunting task for Accounting. To help the customer, Payroll Data created a custom GL Export file designed to easily bring data directly into the customer’s backend accounting application. For the customer, this allows tremendous time savings and eliminates costly data entry errors.

To complete the process, the customer’s only responsibility is to import the custom GL file into its accounting application -- a process they complete in just a few clicks of their mouse.

Unique Deductions

Like many businesses, this client had more than a few non-standard deduction requirements. Because of the flexible nature of all Payroll Data solutions, the client was able to realize a professional payroll solution that conforms to their business requirements. Not only were all of the customer’s existing deductions implemented, Payroll Data was able to deliver the solution with plenty of room for the customer to grow.

Benefits Tracking

Benefits offer your business the opportunity to reward employees beyond basic compensation. The customer was looking for a way to improve the way in which they manage employee benefits and more importantly were looking to streamline the open enrollment process. Today, Payroll Data delivers detailed benefits reports to the customer after each pay run.

In addition to great reports, the Payroll Data solution is set up so that employee benefits changes occur automatically based on the customer’s policies. In addition, for yearly benefit changes like health, the customer is able to globally change benefits across an entire class.
